Benefits Coordinator Job Description

Summary

The Benefits Coordinator is responsible for the administration and maintenance of all associate benefits designed to reflect the organization’s strategy to attract, motivate and retain top talent.

The Benefits Coordinator administers, audits, and reviews the company’s benefit plans to ensure they are executed within plan and regulatory requirements and comply with all applicable state and federal laws.  The Benefits Coordinator provides assistance and subject matter expertise to associates on all benefit programs, processes, polices.

Responsibilities

  • Administers all associate benefits programs including medical, dental, vision, 401(k), life/AD&D, and voluntary plans.  Monitors and audits eligibility to identify changes that require exception processing.  Follow up with divisional Human Resources and/or associates directly regarding the changes. 
  • Ensures the accuracy of all benefits enrollments in benefit administration systems.  Monitors file transmissions including bi-weekly deduction files to ensure accuracy of demographic, enrollment and deduction information.  Works with HRIS, Payroll, and/or vendor partners as appropriate to resolve errors. 
  • Prepares and processes monthly billings for benefits invoices, ensuring accuracy and timely premium payments.  Reconciles eligibility to ensure accurate benefit billing; works directly with carriers on any billing adjustments as needed.
  • Provides front line customer service and support to associates and Human Resources teams, handling all inquiries and complaints quickly and courteously, and escalating complex issues to Total Rewards Manager as appropriate. Researches issues and works with vendors to ensure resolution of issues.
  • Assists with the creation of and updates to benefits communication materials such as flyers, emails, presentations and websites. Distributes benefits information, enrollment materials, and annual mailings.  Works with the Communication Specialist to publish benefits information and documents on the company’s intranet site.
  • Plans and coordinates new hire benefits orientation, annual open enrollment meetings and regular benefit events. 
  • Ensures compliance with all benefits related federal and state regulations such as HIPAA, COBRA, FMLA, etc. Maintains required plan documents such as SPDs, SMMs and SARs.  Assists with annual compliance reporting and audits including 1094/1095C forms, 5500 filings and annual plan audits. 
  • Documents and maintains administrative procedures for assigned benefits processes.

 

Experience

  • High School Diploma required; Bachelor’s degree in Human Resources, Business Administration or related field is strongly preferred.
  • 2+ years of progressively challenging and relevant experience in an HR administration role.
  • Detail-oriented with excellent analytical and organization skills.  Strong computer skills and the ability to work with MS Word, Excel and Power Point.
  • Excellent oral and written communication skills and ability to speak with all levels of the workforce.
  • Demonstrated ability to multi-task and plan/prioritize work in a dynamic, fast paced environment while meeting tight deadlines.
  • Knowledge of federal, state and local benefit and Human Resources regulations and requirements.
