PURPOSE OF POSITION:

Maximize revenue and exposure for all available meeting space in the Hotel

 ESSENTIAL FUNCTIONS:

  1. Account prospecting, solicitation, and development via telephone, personal contact, outside calls, correspondence, email and other means of communication.  Conduct outlet site inspections, entertain both in-house and off property, and maintain accounts thorough follow up methods.
  2. Participate in marketing of meeting space for the hotel and restaurant utilizing Yelp contracted public relations firms and other sources available.
  3. Represent outlets and event space at public events to promote the restaurant and the hotel.
  4. Prepare and present proposals and contracts both written and verbal in a prompt, accurate, profitable, pleasant and professional manner using Delphi FDC
  5. Detail all events booked assigned to you
  6. Set meeting rooms to the details on the Banquet Event Orders and AV as needed.
  7. Monthly forecasting of estimated food/beverage revenue.
  8. Set up blocks and inventory using the Hilton Revenue system
  9. Ensure all proper billing has been established for each event.
  10. Meet, greet and hand-off client to Banquet Manager at beginning of event.
  11. Update website and other internet sites as needed with current special events information.
  12. Establish and maintain a top client list for events booked.
  13. Assist as needed with any special events to promote the Audrey Kitchen + Bar
  14. Maintain a current database of competition’s private dining rooms including, but not limited to menus, layouts, regulations and managers.
  15. Attend meetings including, but not limited to, pre-convention, business review, pre-shift, BEO, departmental.
  16. Maintain guest room blocks that are booked in conjunction with a catered event.
  17. Other duties as assigned.

MANDATORY JOB REQUIREMENTS:

  1. Flexibility to work varying schedules to reflect the business needs of the hotel.
  2. Provide site tours of the Outlets and event space
  3. Knowledge of competitive set.
  4. Conduct Competition Surveys.
  5. Proficient knowledge of Word and Excel.
  6. Excellent communication skills, both written and oral.
  7. Detail Oriented.
  8. Basic mathematical skills to prepare proposals.
  9. Ability to effectively network and market the Hilton Madison and all Outlets.
  10. Ability to work independently.
  11. Valid Driver’s License.
  12. Perform other duties as assigned.

EXPERIENCE OR TRAINING REQUIRED:

  1. Previous high-end/fine dining restaurant management experience preferred.
  2. Previous hotel experience preferred.
  3. Previous banquet experience preferred.
  4. Ability to use Microsoft Word and Excel.
  5. Strong multiple project management skills.
  6. Excellent communication skills.
  7. Ability to read, write and speak the English language fluently to interact with clients.
  8. Ability to analyze client needs and negotiate pricing.
  9. Ability to work under time pressures and extensive hours.
  10. Proper business etiquette through all communication channels.
